Terms of Participation
APPLICATION PROCEDURE
Applications from companies wishing to participate in the international forum are accepted until December 2, 2026.

To register, participants must submit a completed application to the Organizer’s email address указанному in the application form, sign the contract, and pay a 30% deposit of the total participation fee within 10 banking days from the date of invoice issuance.

Applications submitted later than 30 days before the start of the forum may be accepted by the Organizer subject to the availability of exhibition space.

The Organizer reserves the right to reject an application in the following cases:
  • late payment for participation
  • the company’s business activity does not correspond to the theme of the forum
  • late approval of the exhibition stand design project
  • submission of inaccurate information in the application

Exhibition stand placement is determined by the Organizer based on the overall exhibition layout and in the order payments are received, while taking the Participant’s preferences into account to the greatest extent possible.

During the application review and stand design approval process, the stand location within the forum exhibition is determined.

If an unequipped exhibition space is ordered, the Participant must approve the stand design project and construction terms with the Organizer no later than 30 days before the start of the forum.
PAYMENT TERMS
After the participation application is approved, the Organizer issues the Participant an invoice for participation in the forum.

To confirm participation, the Participant must pay a 30% deposit of the total participation fee as a guarantee for reserving exhibition space within 10 banking days from the date of receipt of the invoice.

This payment is considered a guarantee deposit for reserving exhibition space and confirms the reservation of the selected location on the forum exhibition plan.

The remaining 70% of the participation fee must be paid by the Participant no later than 6 months before the start of the forum to the Organizer’s foreign currency account in accordance with the issued invoice.

In the event of late payment, the Organizer reserves the right to:
  • change the location of the Participant’s exhibition stand
  • allocate the released exhibition space to other participants
  • charge a penalty of 0.1% of the outstanding amount for each day of delay

If the full participation fee is not paid within the established deadlines, the Organizer has the right to cancel the company’s participation in the forum. In this case, the previously paid guarantee deposit for reserving exhibition space is non refundable.
CANCELLATION OF PARTICIPATION AND REFUND POLICY
In the event of the Participant’s written cancellation of participation in the forum, the following terms shall apply:
  • if the cancellation is made more than 6 months before the start of the forum, the exhibition space reservation deposit of 30% is non refundable
  • if the cancellation is made between 3 and 6 months before the start of the forum, 50% of the total participation fee shall be retained
  • if the cancellation is made less than 3 months before the start of the forum, 100% of the participation fee shall be retained

The retained amounts shall be considered compensation for the Organizer’s expenses related to the preparation of the forum, including marketing activities, advertising campaigns, and administrative and organizational costs.

In the event of the Participant’s cancellation, the Organizer shall have the right, at its sole discretion, to reassign the exhibition space.
SUBMISSION OF INFORMATION FOR THE OFFICIAL EXHIBITION CATALOGUE
To publish information in the official forum catalogue, Participants must provide the following details:
  • full company name
  • mailing address
  • contact phone number
  • email address
  • a brief description of the company’s activities and the products or services presented

The company profile must be provided in both Russian and English. The text length must be between 500 and 1,000 characters.

The Participant may also specify the catalogue section in which the company information should be placed.
Information for publication in the official catalogue must be submitted no later than 30 calendar days before the start of the forum.

The information must be provided electronically in Word format.

If the information is submitted after the established deadline, the Organizer does not guarantee its inclusion in the official forum catalogue.
MISCELLANEOUS TERMS
  1. The Participant must occupy the allocated exhibition space and complete stand installation within the timeframes set by the forum schedule.
  2. Stand dismantling and vacating the exhibition space must be completed by the Participant within the timeframes established by the Organizer.
  3. In the event of failure to vacate the exhibition space on time, the Organizer shall have the right to claim compensation for expenses related to the delay in dismantling.
  4. Upon receiving equipped exhibition space, the Participant accepts the exhibition equipment in proper condition and undertakes to return it after the end of the forum.
  5. In the event of damage to or loss of the equipment, the Participant must reimburse the Organizer for its full value.
  6. The Participant must obtain the Organizer’s approval for:
  7. placement of artistic and decorative elements outside the exhibition stand
  8. placement of advertising and informational materials
  9. holding presentations, seminars, conferences, and other events within the framework of the forum
  10. conducting photo and video shooting on the exhibition grounds
  11. The Organizer shall not be responsible for the safekeeping of the Participant’s property located on the forum premises.
  12. The Participant must comply with health and safety regulations, fire safety requirements, and the operating rules of the exhibition venue.
  13. All expenses related to the transportation of exhibits, customs clearance, and other related procedures shall be borne by the Participant in accordance with the legislation of the Republic of Uzbekistan.
  14. The Organizer shall have the right to make changes to the participation terms prior to the signing of the contract with the Participant.
Services
  • EQUIPPED EXHIBITION SPACE (MIN. 9 SQ. M) INCLUDES THE FOLLOWING (SHELL SCHEME):
    9 sq.m:
    • perimeter walls
    • carpet flooring
    • company name on the fascia panel
    • table, 1 pc. (70×70)
    • chairs, 3 pcs.
    • waste bin
    • electrical connection up to 1 kW
    • 1 socket (220 V)
    • 3 spotlights, 10 W each

    Additional equipment, technical connections, and services are provided at an extra charge.
  • UNEQUIPPED EXHIBITION SPACE IN THE EXHIBITION HALL (RAW SPACE) OR OUTDOOR AREA
    This is a designated area without walls, electrical connection, or carpet flooring.
    The rental cost of unequipped exhibition space includes security during non exhibition hours and cleaning of the aisles in the exhibition hall. Exhibitors may additionally order cleaning of their exhibition stand for an extra fee in accordance with the price list. Additional services, equipment, and utility connections must be ordered separately.
    Only specialized companies accredited to carry out construction work at the exhibition venue are permitted to install custom stands on unequipped spaces. The Participant must coordinate the arrival time for the custom stand with the stand builder and the Organizer.
    The exhibition space allocated to the Participant may not be subleased without the Organizer’s written permission.
  • MANDATORY REGISTRATION FEE FOR EACH EXHIBITING COMPANY
    The registration fee is mandatory for all forum participants and is paid in addition to the cost of the exhibition space.
    The fee includes publication of the participant’s information in the official exhibition catalogue, placement of company information in the "List of Participants" section on the Organizer’s website imtech.uz, one copy of the official catalogue for the participant, publication of news materials provided by the participant on the official forum website, registration of the exhibiting company, participant badges in accordance with the application, Wi Fi access at the forum venue, and a certificate of participation.
  • CATALOGUE LISTING AT THE FORUM
    Information about the exhibiting company is published in the official catalogue of the IMTECH International Forum and posted on the forum website in the "List of Participants" section, provided that the materials are submitted on time. The Organizer shall not be responsible for the accuracy or content of the information provided by the Participant.
